Virtual Assistant (Part‑time, Remote)

About the role
We are looking for a proactive Virtual Assistant to support the Chief Executive of the New Zealand Climate Foundation. Working remotely on a part‑time basis (16‑20 hours per week), you will ensure the CEO’s schedule, communications and travel run smoothly so she can focus on advancing New Zealand’s low‑emissions transition.
Key responsibilities
- Manage the CEO’s calendar across multiple time zones, including complex international meetings.
- Prepare briefing notes, agendas and pre‑reads for internal and external engagements.
- Triage the CEO’s email inbox, draft responses to low‑priority messages and flag urgent items.
- Arrange domestic and international travel, visas, accommodation and detailed itineraries.
- Support logistics for events, workshops, board meetings and team gatherings, including venue research and supplier coordination.
- Upload board papers to BoardPro, schedule board meetings and manage related communications.
- Maintain accurate travel expense logs and assist with monthly board updates.
Required profile
- Highly proactive with strong judgement and the ability to anticipate needs.
- Excellent written communication, especially when dealing with senior government, philanthropic and business contacts.
- Eligible to work in New Zealand (no sponsorship available).
- Comfortable handling high‑trust, high‑accountability tasks in a small, fast‑moving team.
