About the role

DHL Express is seeking a highly organised Executive Assistant & Country Coordinator to support the Managing Director for New Zealand & Pacific Islands and the Senior Management Team. This pivotal role acts as a trusted partner to senior leadership, ensuring smooth daily operations and driving employee engagement across the organisation.

Key responsibilities

  • Provide high‑level executive support to the Managing Director, managing diary, inbox, travel arrangements and daily priorities.
  • Prepare high‑quality reports, presentations and communications for senior leadership.
  • Coordinate the Senior Management Team, tracking deadlines, actions and corporate deliverables.
  • Handle confidential matters with professionalism and discretion.
  • Maintain business continuity in the Managing Director’s absence by prioritising and redirecting issues.
  • Lead planning, coordination and delivery of internal events, leadership forums and employee‑engagement initiatives.
  • Manage the Events Committee and annual events calendar, ensuring timely, on‑budget delivery.
  • Oversee travel approvals and arrangements in line with DHL policies, including international travel.
  • Support operational processes such as procurement, invoicing, vendor coordination and organisational‑chart maintenance.
  • Contribute to internal communications that enhance culture and engagement.

Required profile

  • 3–5 years of experience as an Executive Assistant or in a comparable senior‑support role.
  • Exceptional organisational and time‑management abilities with a proven track record of handling competing priorities.
  • Strong written and verbal communication skills with high attention to detail.
  • Demonstrated ability to manage confidential information with integrity.
  • Experience coordinating events and managing complex travel logistics.
  • Effective stakeholder management and confidence working across all organisational levels.

Required skills

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
