About the role
We are seeking a highly organised Executive Assistant to provide proactive support to the General Manager and senior leadership at Inovo, a leading firm in project management and land development across New Zealand.
Key responsibilities
- Manage complex diaries, schedule meetings and coordinate travel for senior executives.
- Prepare, proof‑read and distribute reports, meeting papers and other documentation.
- Take accurate minutes, compile reports and maintain document management systems.
- Liaise with Board members, clients, contractors and other stakeholders on behalf of senior leadership.
- Support strategic initiatives, governance processes and day‑to‑day operations.
Required profile
- Highly organised, proactive and able to handle competing priorities.
- Trusted with confidential information, exercising sound judgement and integrity.
- Excellent communicator with strong relationship‑building skills.
- Detail‑oriented, solutions‑focused and adaptable in a fast‑paced environment.
- NZ permanent resident or citizen status.
Required skills
- Proven experience providing high‑level executive or administrative support in a professional services or project‑based setting.
- Exceptional diary management, coordination and organisational abilities.
- Strong minute‑taking, reporting and document management capabilities.
- Intermediate to advanced Microsoft Office proficiency, including SharePoint.
- Experience with desktop publishing software (highly regarded).
