Senior Administrator – Sport & Recreation Grants

About the role
We are seeking a proactive and highly organised Senior Administrator to join our Shared Support Services team on a six‑month fixed‑term basis. The role supports the Sport and Recreation Grants programme within Tākaro, helping Auckland communities access sport and recreation opportunities.
Key responsibilities
- Manage and triage the shared inbox, ensuring timely and professional responses.
- Coordinate meetings, workshops, venues, catering, agendas and logistics.
- Prepare, format, proofread and maintain business documents and templates.
- Maintain filing systems, databases, records and archives, including SmartyGrants.
- Support financial administration: vendor management, invoice processing, goods receipting and payment tracking through SAP.
- Maintain grant expenditure and budget trackers.
- Produce programme updates, reports and maintain risk, decision and action registers.
- Contribute to continuous‑improvement initiatives and manage competing priorities with confidentiality.
Required profile
- Strong administration, coordination or project‑support experience in a professional environment.
- Excellent communication skills and ability to build positive working relationships.
- Strong attention to detail and effective time‑management.
- Confidence working across Microsoft Office Suite and digital systems.
- Experience managing financial administration and reporting tasks.
- Ability to work independently while remaining collaborative and adaptable.
- Experience with SAP or similar financial systems is advantageous.
- Experience within local or central government environments is beneficial.
