Reservations Executive - Groups

About the role

We are looking for a Reservations Executive – Groups to be the first point of contact for our guests’ group bookings at Hotel St Moritz, a luxury alpine resort in New Zealand. You will deliver high‑touch, personalised service, turning group events into memorable experiences while supporting revenue goals.

Key responsibilities

• Receive, process and confirm group reservations via phone and email, ensuring timely responses.
• Collaborate with the revenue team to sell group bookings, manage inventory and optimise room and rate yield.
• Prepare group blocks, rooming lists and quotations for travel agents and clients.
• Monitor and chase deposits, pre‑payments and outstanding balances for groups.
• Maintain accurate records in the Property Management System (PMS) and provide status updates on bookings, cancellations and amendments.
• Coordinate with F&B, conference services and other departments to fulfil special group requirements.
• Answer all calls promptly using the hotel’s standard greeting and ensure all enquiries are addressed within the same working day.
• Handle correspondence in line with company procedures and seek authorisation for unusual requests.

Required profile

• Strong attention to detail and accuracy, especially for group bookings.
• Ability to thrive in a fast‑paced environment while managing guest and group expectations.
• Excellent telephone etiquette and written communication skills.
• Proactive problem‑solving and complaint‑resolution capabilities.

Required skills

• Proficiency with a Property Management System (PMS).
• Experience working with revenue or inventory management processes.
