About the role
The Liggins Institute at the University of Auckland is seeking a proactive Executive Assistant to provide high‑level administrative and project support to the Institute Director and, as required, to the Operations Manager and Deputy Director. This full‑time permanent position enables senior leaders to focus on strategic priorities while ensuring smooth day‑to‑day operations.
Key responsibilities
- Manage the Director’s email inbox and complex diary, arranging meetings and travel.
- Coordinate local events, prepare minutes, and format presentations and documents.
- Handle e‑card and p‑card reconciliations and process expense claims.
- Provide timely and accurate support for Zoom and Microsoft Teams virtual meetings.
- Identify and implement process improvements to increase efficiency.
Required profile
- Proven experience as an Executive Assistant supporting senior management.
- Excellent communication, organisational and problem‑solving abilities.
- Methodical approach with strong attention to detail.
- Ability to engage confidently with a diverse range of stakeholders.
Required skills
- Advanced proficiency in the Microsoft Office Suite.
- Experience using Zoom for virtual meetings.
- Experience using Microsoft Teams for collaboration.
What we offer
- Full‑time permanent contract.
- Salary range NZ$73,400 – NZ$90,700 per year, commensurate with experience.
