Conference & Events Coordinator (Fixed‑Term)

About the role

The Conference & Events Coordinator will manage the full lifecycle of conferences, student engagement events, cultural celebrations and external functions at AUT City Campus. This is a 12‑month fixed‑term position covering parental leave, working in a fast‑paced, deadline‑driven environment.

Key responsibilities

• Plan, schedule and deliver a variety of conferences and events from concept to completion.
• Act as the primary liaison with internal and external clients, ensuring expectations are met.
• Coordinate catering, audio‑visual services and venue logistics.
• Maintain event budgets, process invoices and perform financial reconciliation.
• Utilise AUT’s enterprise event management system to track bookings, resources and reporting.
• Collaborate with Commercial Services, Estates, Faculty and Professional Services teams.

Required profile

• Minimum 4 years’ experience in a similar events or conference coordination role.
• Strong background in customer‑service environments, particularly hospitality coordination.
• Proven ability to manage multiple events simultaneously while meeting tight deadlines.
• Excellent organisational, communication and stakeholder‑management skills.
