Personal Assistant & Office Administrator

About the role
We are seeking a proactive Personal Assistant and Office Administrator to be the first point of contact for our Takapuna office. In this highly visible role you will deliver a professional front‑of‑house experience while ensuring the smooth day‑to‑day operation of the office and supporting the wider team.
Key responsibilities
- Greet clients, visitors and stakeholders, manage reception and phone enquiries with professionalism and confidentiality.
- Coordinate meeting rooms, including bookings, set‑up, catering and presentation requirements.
- Prepare, format and distribute documents such as reports, letters and presentations.
- Handle incoming and outgoing mail, couriers and general correspondence.
- Support client onboarding, maintain databases and update systems (e.g., MYOB/Practice).
- Assist with billing processes, invoicing, timesheets and reporting.
- Organise catering and provide support for internal and client meetings/events.
- Maintain office facilities, kitchens and shared spaces to a high standard.
- Provide broader administrative support, document finalisation and workflow coordination.
- Contribute to projects, events and initiatives across the Takapuna office.
Required profile
- Previous experience in a reception, office administration or personal assistant role.
- Strong organisational abilities with the capacity to manage multiple priorities.
- Excellent written and verbal communication skills.
- High attention to detail and effective time‑management.
- Confidence using Microsoft Office; experience with invoicing or database systems is advantageous.
