IS Licensing Administrator

About the role

Gallagher is seeking an experienced IS Licensing Administrator to own the day‑to‑day administration of software licences, renewals and procurement. You will work within a global IS team to improve visibility of software spend, reduce licensing risk and ensure the business only pays for what it truly needs.

Key responsibilities

• Maintain accurate records of software licences, subscriptions, entitlements and deployments.
• Manage the renewal pipeline, initiating reviews well before expiry and validating licences against actual usage.
• Identify unused, duplicated or over‑provisioned licences and coordinate reclamation, reallocation or tier changes.
• Support compliance reviews and audits by gathering and validating evidence.
• Enter licensing and entitlement data into ServiceNow and related registers.
• Raise requisitions and purchase orders for software, subscriptions, hardware and related services.
• Obtain supplier quotes, reconcile purchase orders and coordinate with Finance for asset numbers.
• Provide licensing, entitlement and usage information for commercial discussions and produce reporting on renewals, utilisation and optimisation opportunities.

Required profile

• Proven experience in software licensing administration, renewal coordination and procurement support.
• Strong analytical skills to validate licence usage and identify optimisation opportunities.
• Ability to work cross‑functionally with application owners, Procurement, Finance and IS teams.
• Attention to detail and ability to keep records audit‑ready.
